At Bates Mission, our heart is in helping young adults aging out of foster care in Texas step into independence with confidence. But as any nonprofit knows, compassion alone isn’t enough—real, lasting impact takes thoughtful systems and a whole lot of behind-the-scenes organization.
That’s why we’ve been focusing on strengthening the way we work—because better systems help us work smarter, reach further, and show up more consistently for the people who count on us.
Here’s a peek at what that looks like—and how it’s already making a difference.
What Do We Mean by “Operational Systems”?
Think of operational systems as the backbone of everything we do. From keeping track of donations to managing Sheila’s Supply Closet, these are the processes and tools that keep things running smoothly.
And when we fine-tune those systems, we’re able to:

- Stay transparent with our donors and grant partners
- Reach even more young adults across Texas
What We’ve Improved So Far in 2025
We kicked off the year with a clear focus: build stronger foundations so we can grow with intention. Here’s what we’ve been working on:
➡️ Launched the Impact Partner Campaign
In April, we introduced our new recurring donor program. It’s not just about fundraising—it’s about building long-term, dependable support that allows us to grow sustainably.
➡️ Said Yes to the Right Opportunities
We’ve gotten more intentional about what we take on, aligning every opportunity with our Mission, Vision, and yearly goals. If it doesn’t fit, we say no (which is hard, but worth it).
➡️ Planned Our Content Ahead of Time
With a clear plan in place, our newsletters, blog posts, and social updates are going out on time—no more last-minute scrambling.
➡️ Made Our Meetings Matter More
We’ve improved how we collaborate as a team—streamlining weekly check-ins, using tools like Google Chat and shared docs, and cutting back on unnecessary meetings. The result? More time spent getting things done.
➡️ Strengthened Our Day-to-Day Operations
Since January, we’ve also focused on behind-the-scenes tools that keep everything moving—like better documentation, organized file storage through Google Drive, and simple tracking systems using Toggl and Google Sheets. We’re working faster, smarter, and more effectively than ever before.
